Scheduling & workforce operations

Every organization runs on people and time. Run yours on one platform.

Build rotas, track hours, keep records and settle pay — whether you run two chairs in a barbershop or two hundred staff across a dozen sites.

No industry lock-in — the words, roles and rules are yours to set

Who it's for

If you schedule people, you can run it on FieldTrac.

The platform doesn't assume what your organization does. It assumes you have people, places, hours and things that must get done — and gives you one place to manage all four.

Salons & barbershops

Chair-by-chair rotas, walk-in cover, commission-ready hours and holiday tracking for a small team.

You'll call them stylists

Schools & nurseries

Cover for absences, cleaners and catering hours, supply-staff records and certificate expiry reminders.

You'll call them teachers & staff

Clinics & care

Ward and room rotas, qualification checks before a shift is assigned, and a clear audit trail of who worked when.

You'll call them clinicians

Warehouse & logistics

Shift patterns that repeat for months, overtime rules, and recurring stock or vehicle checks that must be signed off.

You'll call them operators

Facilities & cleaning

Multi-site coverage, proof of attendance at each address, and client-ready reports of hours delivered.

You'll call them cleaners

Retail & hospitality

Trading-hour templates, last-minute swaps, break rules and a wage cost you can see before you publish.

You'll call them team members

Field & mobile teams

Assign work by site, capture check-in where the job actually happens, and see live status without phoning round.

You'll call them engineers

…and whatever you run

Nothing above is hard-coded. Roles, shift types, sites and the words on screen are configuration, not custom development.

You'll call them whatever you like

The platform

Six things every organization needs, in one system.

Each part works on its own and gets better with the others — hours flow into pay, sites flow into reports, records flow into compliance.

Scheduling & rotas

Drag shifts onto a week or month view, or build a pattern once and roll it forward for the year.

  • Repeating shift patterns
  • Open shifts staff can pick up
  • Publish changes in one action

Time & attendance

Clock-in and clock-out from the phone, with the site and time recorded against the shift that was planned.

  • Planned vs actual, side by side
  • Late and missed-shift alerts
  • Approve a week in one screen

Staff records

One profile per person: contact details, documents, qualifications, leave balance and pay rate.

  • Expiry reminders for certificates
  • Leave requests and approvals
  • Bulk import from a spreadsheet

Pay & invoicing

Approved hours become pay slips and client invoices without re-keying anything into a spreadsheet.

  • Pay rules and deductions
  • Per-client charge rates
  • Monthly financial summary

Tasks & checks

Recurring jobs that must be done and evidenced — opening checks, equipment tests, site walks, deliveries.

  • Assign to a person or a site
  • Photo and note capture
  • Completed / missed history

Reports & oversight

A dashboard for today and exports for everything else, filtered by date, site, person or role.

  • Live headcount on duty
  • Hours by site or client
  • Export to Excel or PDF

How it works

Running in an afternoon, not a quarter.

There is no implementation project. You add your people, describe your week, and publish.

STEP 01

Add your people and places

Import a spreadsheet or add them one by one. Set the roles you actually use, and the sites or rooms you work across.

STEP 02

Describe a typical week

Build the shifts you run — once. Save it as a pattern and FieldTrac rolls it forward, so you're editing exceptions instead of rebuilding the rota.

STEP 03

Publish, then let it run

Your team sees their shifts and clocks in from the phone. Hours land in timesheets, timesheets become pay — and you get the week back.

Make it yours

Your organization's words, not ours.

Most software makes you adopt its vocabulary. FieldTrac works the other way around: the labels on screen are settings, so the system reads the way your team already talks.

The same is true of structure. Roles, shift types, leave policies, pay rules and the sites you cover are all configuration — no developer, no rebuild, no waiting on a release.

Questions

The things people ask before they start.

Is this built for a particular industry?

No. FieldTrac handles people, time, places and recurring work — a pattern shared by a barbershop, a school, a clinic and a distribution depot alike. Nothing in the system assumes what you do, and the terminology is yours to set.

We're a team of four. Is this too much software?

No. A small team typically uses scheduling, clock-in and leave, and simply leaves the rest switched off. You aren't charged for scale you don't have, and there's nothing to configure in the parts you don't use.

Can staff use it on their phones?

Yes. Staff see their own shifts, clock in and out, request leave and complete assigned checks from a phone. Managers get the same screens plus the scheduling and approval views.

What happens to the hours once they're approved?

They flow into timesheets, then into pay slips using your pay rules and deductions. If you bill clients for time, the same hours produce an invoice at your charge rate — so the numbers agree by construction rather than by re-keying.

Can we move our existing records in?

Yes. Import people from a spreadsheet using the supplied template. You'll see every row and can correct it before anything is saved, so a bad import can't quietly land in your data.

Who can see what?

Access is controlled per role across every feature — scheduling, pay, records, reports and settings. You define the roles that match your organization and tick exactly what each one can reach.

Tell us how your week runs.

We'll show you the same platform, set up in your words — in about twenty minutes.
